1) Item Reports
Auction Items Download
- Select the list view
for the auction you wish to download. This will initiate a CSV download that will include every item and all data fields for each item.
Bidsquare Live Auction Download
- Select the list view
for the auction you wish to download. This will initiate a CSV download that will include pre-formatted upload for the Bidsquare.com live auction platform
Find Unassigned Items
- For various reasons, items can be logged into your FWS inventory without being "assigned" to a particular auction. For example, you might be doing an appraisal for a client and then later may be asked to sell the property. This routine allows you to assign a group of items to an auction in a very quick way.
- Search for items that are currently unassigned to auctions by use of the FILTER. Once selected, then you can assign items to any auction using the drop-down selector and SAVE

2) Financial Exports
FWS has a powerful feature that will print Consignor checks automatically under Auction Application/Consignment/Print Checks. Once these checks are produced they can be imported directly into your Quickbooks program without having to individually key every check - a huge time savings for the accounting department! In FWS there are two ways to do this: by using a 3rd party program like Transaction Pro (Option 1) or by using the Quickbooks import file protocol (Option 2)
Option 1: CSV Checks Import
- Select the list view
for the auction you wish to download. Select date range for export. This will initiate a CSV download that will include pre-formatted upload for the Transaction Pro import program that works in conjunction with Quickbooks.
Option 2: Quickbooks Checks Export
- Select the list view
for the auction you wish to download. Select date range for export. This will automatiocally download an .iif file that can be directly imported into Quickbooks.
End of Day Payments Received
- Lists all of the payments and type for the date range specified

All Accounts Receivable
- Lists all auctions that have any balance-due amounts owed. Select the individual auction for buyer/auction details and contact information. Exportable into a CSV file

Select "eyeball" icon to view detail for any auction: Choose to view All Invoices, or just the Unpaid Invoices

3) Auction Reports
Upcoming Auctions Summary
- Lists all Upcoming auctions with date, item count, Total Low and High Estimate. Select list view
to see all the auction items by sale.
Pre-Sale Auction Data
- Select auction and view specific information on each auction; including, Low/High estimates, items within estimated ranges, and number of items per interest category. Clickable ranges that display all items within the chosen field.
Post-Sale Auction Data
- Select auction and view specific information on each auction; including post auction Hammer Price totals, sold below/within/above the Low Estimate, items sold within ranges, and number of items sold by category. Clickable ranges that display all items within the chosen field.
Item Auction Data
- Select auction and display a listing of all items in a sale and the results if sold.
Item Auction Gross Profit
- Select auction and display a listing of all items sold. Shown for each auction item displayed is the Hammer, the Sale Price (including any buyer’s premium), and the Consignor, Referrer and Account Executive commissions paid. At the bottom of the page is a complete summary of the auction gross profit.
Bids By Consignor
- Select desired auction and display a listing of bids placed on each consignor’s property, and the type of bid (e.g. Floor Bidder, Telephone Bidder, etc.)
Sales by Consignor
- Select desired auction and display a listing of sale results for each consignor’s property.

4) Results by Period
Auctions
- Reports all auctions within a selected date range with summary of totals at the bottom

Consignors
- Lists all consignors by selected time period and results

Referrers
- Lists all Referrers by selected time period and results

Account Executives
- Lists all Account Executives by selected time period and results
Auction Office Locations
- Lists all Property sold at a particular location by selected time period and results. Every Auction has an "Location" status and these items are being pulled from that designation. This is a report that tells you "Where" things are sold.

Property Origin
- Lists all Property from it's "Source" or "Origin". by selected time period and results. Every Property Receipt has a has a "Property Source" status and these items are being pulled from that designation. This is a report that tells you "Where" things were obtained. The items may have been obtained in Florida, but sold in Illinois. This report tells you where the items were obtained.

Receipts
- Lists all property by receipt over a designated time period

Departments
- Lists all property sold by Department over a designated time period

5) Catalog Design
Catalog Image Layout
Catalog Item Listing:
- This "Catalog Creator" is a simple way to generate prined catalog listings "on the fly" by using a template builder.
- Choose the auction you wish to create a catalog listing for, choose the template you wish to generate, then "Go" will create the catalog.

6) Department Budgets
This module can be used to help with budgeting by Department. You can establish an overall annual budget for each Department. And for every auction set up and assigned to a department, the sale will be added as a budget column. Using the "Budget Setup" worksheet, you can then assign budget line items to each sale, including Income and Expenses.
Departments need to be set-up under Settings/Departments and auctions need to be assigned to a department in order for the budget module to accurately collate the data.
Budget Setup
- Select the department from the list you wish to set up a budget for. Once auctions are assigned to a department, the auctions will appear as columns in the report.
- In the 1st column for each department you will manually add your "Annual Budget" numbers into the fields.
- Certain actual results will be generated by the FWS system when auctions take place (e.g. "Hammer Price", "Negotiated Commission"). Other line items may be imported from other sources like Quickbooks, if your company job-costs and you can map your data to the FWS budget line items (see Budget Import"). In "Line Item Setup", you can generate these additional budget categories to be added to your budget module.

Budget Report
- The report (by Department) will show the Annual Budget, the "Expected" and the "Actual" for each auction.
Budget Import
- You can import Budget actuals from Quickbooks or other financial data programs as long as the formatting follows certain formatting guidelines.
Line Item Setup
- Certain actual results will be generated by the FWS system when auctions take place (e.g. "Hammer Price", "Negotiated Commission"). Other line items may be imported from other sources like Quickbooks, if your company job-costs and you can map your data to the FWS budget line items (see Budget Import"). 8) Admin Item Console
This module is a powerful feature (and dangerous!). This feature allows an administrator to make changes directly to any item (or groups of items). You can only make changes to ITEMS, but the changes made can have broad and they are permanent, so be careful in the use of this feature.
